Privacy Policy

This Privacy Policy explains what information we collect, how we use it, when we share it, and the choices you have when using TEF TCF Canada Practice.

1. Scope

This policy applies to the TEF TCF Canada Practice website, user accounts, paid plan purchases, practice tools, reports, reminders, and related services we operate.

By using the platform, you acknowledge that we may collect and use information as described here. If you do not agree, please do not use the service.

2. Information We Collect

Depending on how you use the platform, we may collect:

  • Account and profile details such as your email address, name, password hash, account timestamps, and login or password-reset records.
  • Study and product data such as exam results, scores, CLB and CEFR estimates, streaks, target CLB level, saved history, exam preferences, exam date, usage counters, badge progress, daily challenge attempts, and leaderboard visibility settings.
  • Content you submit, including writing responses, contact form messages, support requests, referral code activity, and other text you send through the platform.
  • Purchase and plan data such as selected plan, purchase status, price, taxes, currency, Stripe checkout session identifiers, payment intent references, plan purchase date, and plan expiry date.
  • Email and communication data such as reminder preferences, unsubscribe tokens, welcome emails, plan-expiration notices, achievement emails, weekly reports, and exam countdown settings.
  • Technical and usage data such as IP-derived request information, browser and device details, session activity, analytics events, and security or rate-limit logs.
  • Anonymous free-trial tracking data, including a locally stored browser fingerprint and related question-count usage used to enforce anonymous trial limits.
  • Browser-stored preferences such as local progress migration prompts, exam preferences, UI dismissal state, and other locally stored convenience settings.

Payment card details and billing instruments are handled by Stripe. We may receive purchase confirmations, billing address information, tax amounts, and payment status metadata from Stripe, but we do not store full card numbers on our own servers.

3. How We Use Information

We use collected information to:

  • Create and secure user accounts, sessions, and authentication flows.
  • Provide practice sessions, save history, generate reports, and enforce free-tier or paid-plan limits.
  • Process purchases, verify payment completion, calculate plan access, and handle payment-related support.
  • Generate automated writing feedback and improve the quality, safety, and reliability of our study tools.
  • Send transactional and preference-based emails, including welcome, reminder, expiry, achievement, and progress emails.
  • Detect abuse, prevent fraud, rate-limit sensitive routes, troubleshoot issues, and maintain platform security.
  • Measure product performance and understand how people use the platform through analytics and operational monitoring.
  • Operate referrals, streak rewards, badges, leaderboard visibility, and related community-style features.

4. AI Feedback Processing

When you use AI writing feedback, we may send the relevant writing prompt and your written response to a third-party AI provider so the service can generate automated feedback. That provider may process the request on our behalf.

Because this feature relies on third-party model infrastructure, you should avoid including unnecessary sensitive personal information in writing submissions.

5. Analytics, Cookies, and Browser Storage

We use Google Analytics and similar operational tooling to understand site usage and improve the platform. These tools may collect identifiers such as IP-related data, browser details, page views, and interaction events.

We also use cookies, session mechanisms, local storage, and similar technologies to keep you signed in, remember preferences, support migration of older local data, enforce anonymous free-trial limits, and maintain basic product functionality.

We do not currently describe the main product experience as an ad-supported service. If we materially change our use of third-party advertising technology, we will update this policy.

6. When We Share Information

We may share information with:

  • Payment processors and tax calculation providers, such as Stripe, to complete one-time purchases and payment verification.
  • AI model or inference providers used to generate automated writing feedback from your submitted prompt and writing response.
  • Email delivery providers used to send account, billing, reminder, and support communications.
  • Analytics, security, and infrastructure providers that help us host, secure, monitor, and improve the service.
  • Authorities, courts, regulators, or professional advisers where disclosure is reasonably necessary to comply with law or protect rights and safety.

If you opt in to the leaderboard, limited profile information becomes visible to other users. We display your name if you provide one; otherwise, we generate an anonymous label instead of exposing your email address.

7. Email Communications

We may send you transactional or service-related emails such as account notices, purchase confirmations, plan-expiration reminders, password resets, welcome messages, practice reminders, weekly reports, achievement emails, and exam countdown messages, depending on your settings and activity.

Some communications are necessary to operate the service, while others are controlled by your email preferences or unsubscribe choices.

8. Data Retention

We retain information for as long as reasonably necessary to provide the service, maintain account history, document purchases, enforce plan access, resolve disputes, prevent abuse, and comply with legal obligations.

For example, we may keep account records, exam history, purchase logs, and preference data after a paid plan expires so that your account history and prior activity remain available if you return.

9. Your Choices and Rights

You may have rights under applicable law, including the ability to:

  • Access, correct, or update core account details from your settings where available.
  • Unsubscribe from marketing-style or reminder emails using the unsubscribe link in the message or by contacting us.
  • Request access, correction, deletion, or export assistance for personal information, subject to legal, technical, and account-security constraints.
  • Control cookies and browser storage through your browser or device settings, understanding that some features may stop working correctly.

We may need to verify your identity before acting on certain requests, and we may keep limited records where necessary for legal compliance, fraud prevention, or payment documentation.

10. Security

We use administrative, technical, and organizational safeguards intended to protect personal information, including HTTPS in transit, authenticated account access, password hashing, limited data access, and operational monitoring.

No system is perfectly secure. We cannot guarantee absolute security and encourage you to use a strong password and protect access to your devices and account credentials.

11. International Processing

Some of the providers we use may process or store information in countries other than your own. By using the platform, you understand that your information may be processed in other jurisdictions, subject to the safeguards and legal obligations applicable to those providers and to us.

12. Children's Privacy

The platform is not directed to children under 13, and we do not knowingly collect personal information from children under 13. If you believe a child has provided us with personal information, contact us so we can review and address the issue.

13. Changes to This Policy

We may update this Privacy Policy from time to time. When we do, we will post the updated version on this page and revise the "Last Updated" date. Your continued use of the platform after the updated version becomes effective means you accept the revised policy.
